Ai-Menu – SquareUp
Integration Guide
Introduction
Ai-Menu software interfaces with the SquareUp readers to allow payments to be taken.
There are two basic modes of operation:
- Waiter-managed (with PIN code):
- Waiter enters table number
- Waiter enters PIN code
- (System automatically opens SquareUp App for the waiter to ensure the reader is connected and ready)
- Waiter presses the “back” button on the tablet to return to Ai-Menu app
- Customer-managed:
- Customer enters table number
- Ai-Menu bypasses the “check for reader ready” step and allows the app to be used straight away
The operation of choice is selected from the server.
Reader Wakeup (in waiter-managed mode)
The SquareUp reader goes to sleep every 2 hours of no usage (when it isn’t connected to power). Unfortunately, this functionality cannot be turned off. Hence, it is sometimes necessary to wake and re-connect the reader.
First Try – press the reader button
If the SquareUp shows the following
Please press the power button (quickly). The LED lights should flash green once.
The orange bar on the top should change to the below. Then press the “back” button.
Second Try – reboot the tablet
Usually pressing the button on the reader should wake it up. If, however, the reader stays disconnected the next step is to reboot the tablet. This is done by press-and-holding the power button on the side of the tablet and selecting “Restart”.
Third Try – re-pair the reader with the tablet
This is very rare, but sometimes is the only way to reconnect the reader to the tablet. The procedure is:
- Remove the previously connected reader from tablet’s memory
- Connect the reader like it’s new
To remove the reader, go to the SquareUp app’s menu and press on “Settings”:
Then press on “Card Readers:
Then press on the “Contactless + Chip” reader:
Finally, “Forget this Reader” (twice)
Now you are ready to re-pair the reader. From the same menu press “Connect a Reader”
The app will instruct you to “Press and HOLD the power button on the SquareUp reader until it flashes orange”. Once that’s done the screen will show the following (below) and you will be able to return to the Ai-Menu app.
View Payments & Send Square Invoice
If the customer claims to have made an order, the easiest way to check is to press on “Past Orders” on the bottom-left-hand corner of the Ai-Menu App. This will show all the orders made from that particular tablet from the time the table number was assigned.
The second way to check payment is via the SquareUp app. To do this, take ANY tablet and exit the Ai-Menu app by press-and-holding your logo and entering the PIN code.
Then open SquareUp app and open the menu, then press on “Transactions”:
This will show ALL payments for ALL tablets. Each transaction is linked to a table number.
Therefore, to cross-check a payment: find your table number and investigate if the claimed order has been made.
If a customer requests a payment receipt, it can be sent via text or email from the SquareUp app. To do this press on the transaction in question from the list as above and select “New Receipt”:
Reader contactless not working
If the payment window has been open for longer than 60 seconds or so, the contactless element will turn itself off to save battery. The tablet will show “Press to re-enable contactless” in small blue writing. Simply press on the text and the contactless will turn on.
“Update Square Point of Sale” required
Form time to time, SquareUp release updates, and previous versions of the app expire. This requires you to update the app, and the only place to do this is from Google Play. Open Google Play from the main screen of the app (only available on apps version later than 6.44)
This should open the Google Play store. (If a login is required, enter the same email and password that is used for the Square account and follow the prompts). Once this is done, press on the menu icon on top-left corner:
Select “My apps & games”,
This will populate a list of apps. One of these apps will be “Square Point of Sale – POS”. Press on the “UPDATE” button next to it.
Now wait until the app updates, then open the Square app to check the login and reader connectivity.
